Active Agenda includes an Advanced Search feature found in the Tools \nmenu that allows you to search for appointments based on a variety of \ncriteria and export the results into a spreadsheet. You can also \nproduce aggregated results based on the client record.<\/p>\n\n\n\n

There are three mandatory pieces of search criteria to be specified:<\/p>\n\n\n\n

  1. The calendars to be searched. By default your own calendar, or the \nfirst calendar you have open will be selected. You can only search \ncalendars you have open.\n<\/li>
  2. The time period to be searched.\n<\/li>
  3. The result set. You can choose between:\n
    1. Appointments \u2013 One row per appointment\n<\/li>
    2. Clients Attending \u2013 One row per client attending, a client \nattending multiple matching appointments will be listed multiple times.\n<\/li>
    3. Clients Attending Distinct \u2013 One row per client record. A client matching multiple appointments will only be listed once.\n<\/li><\/ol>\n<\/li><\/ol>\n\n\n\n

      Optionally you can add additional search conditions by clicking the \u201cAdd search condition\u201d button. Click the red \u201cX\u201d button to remove a search condition from your query. The optional search conditions can include:<\/p>\n\n\n\n
      Field<\/td>Matches<\/td>Description<\/td><\/tr>
      Summary<\/td>Appointment<\/td>The appointment’s summary.<\/td><\/tr>
      Location<\/td>Appointment<\/td>The appointment’s location.<\/td><\/tr>
      Category<\/td>Appointment<\/td>The appointment’s category. In the case of multiple applied categories, this will be considered a match if any of the categories match the search condition.<\/td><\/tr>
      Status<\/td>Client attending<\/td>The attending client(s)’s status.<\/td><\/tr>
      Outcome<\/td>Client attending<\/td>The attending client(s)’s outcome.<\/td><\/tr>
      Client category<\/td>Client attending<\/td>The attending client(s)’s category.<\/td><\/tr>
      Client name<\/td>Client attending<\/td>The attending client(s)’s name.<\/td><\/tr>
      Appointment ID<\/td>Appointment<\/td>The appointment’s ID. It must exactly match the ID.<\/td><\/tr>
      Client ID<\/td>Client attending<\/td>The attending client(s)’s ID. It must exactly match the ID.<\/td><\/tr><\/tbody><\/table>\n\n\n\n

      Simple example<\/h4>\n\n\n\n

      If we wanted a list of all \u201cWorkshops\u201d that \u201cJill\u201d facilitated between January 2013 and June 2013 we would do the following:<\/p>\n\n\n\n

      1. Click the “calendars” button and set the calendar to be searched to Jill\n<\/li>
      2. Click the from date picker and select January 1, 2013\n<\/li>
      3. Click the to date picker and select June 30, 2013\n<\/li>
      4. Leave the result set as “Appointments”\n<\/li>
      5. Click “Add search condition”\n<\/li>
      6. Change the added search condition to : Category – is – Workshop\n<\/li>
      7. Click Search\n<\/li><\/ol>\n\n\n\n

          What is returned now is a list of all the clients scheduled into Jill’s workshops from January 1, 2013 until June 30, 2013.<\/p>\n\n\n\n

          1. Click \u201cAdd search condition\u201d\n<\/li>
          2. Change the added search condition to : Outcome \u2013 is \u2013 Attended\n<\/li>
          3. Click search\n<\/li><\/ol>\n\n\n\n

            What is returned is a list of all the clients that attended (as \nopposed to cancelled, no-showed, etc.) Jill’s workshops. A client that \nattended multiple workshops will be listed multiple times. If we want a\n client listed only once regardless of how many workshops they attended \nwe would:<\/p>\n\n\n\n

            1. Change the result set to \u201cClients attending distinct\u201d\n<\/li>
            2. Click Search\n<\/li><\/ol>\n\n\n\n

              Exporting results to a spreadsheet<\/h4>\n\n\n\n

              Once you have the results you are looking for you have the option of exporting them to a spreadsheet. The spreadsheet will have the same rows and columns (you can use the Column Picker on the right in the header row to change what columns are visible) as the result you are looking at when you click \u201cExport spreadsheet\u201d.<\/p>\n","protected":false},"excerpt":{"rendered":"
