{"id":175,"date":"2018-12-27T06:21:39","date_gmt":"2018-12-27T06:21:39","guid":{"rendered":"http:\/\/wd3.teracet.com\/?page_id=175"},"modified":"2018-12-27T06:21:40","modified_gmt":"2018-12-27T06:21:40","slug":"client-communications","status":"publish","type":"page","link":"https:\/\/teracet.com\/active-agenda\/support\/user-guide\/client-communications\/","title":{"rendered":"Client communications"},"content":{"rendered":"\n<p>Often there are communications (phone calls, in person conversations etc) between your organization and a client prior to an appointment, most commonly to remind the client and\/or confirm the appointment. Client Communications (will be shortened to simply \u201cCommunications\u201d for the remainder of this document) provides an easy, systematic way of entering and tracking this information.<\/p>\n\n\n\n<p>The Communications system allows your organization to track communications with clients including:<\/p>\n\n\n\n<ol><li>When it occurred<\/li><li>With which staff member<\/li><li>The <strong>Status<\/strong> (confirmed, canceled, etc)<\/li><li>Any other additional info staff may choose to add<\/li><\/ol>\n\n\n\n<p><strong>Note:<\/strong> An Communications doesn&#8217;t need to be associated with an appointment. You can use the system to track any communication between your organization and a client by navigating to the client record and clicking the &#8220;Communications&#8221; tab.<\/p>\n\n\n\n<p>The system can be used with any client appointment by opening the Communications dialog box by the appointment context menu (right click) or by opening the appointment and clicking &#8220;Communications\u2026&#8221;.<\/p>\n\n\n\n<div class=\"wp-block-image\"><figure class=\"aligncenter\"><img loading=\"lazy\" width=\"574\" height=\"514\" src=\"https:\/\/teracet.com\/active-agenda\/wp-content\/uploads\/2018\/12\/appointment-client-communication-menu.png\" alt=\"\" class=\"wp-image-176\" srcset=\"https:\/\/teracet.com\/active-agenda\/wp-content\/uploads\/2018\/12\/appointment-client-communication-menu.png 574w, https:\/\/teracet.com\/active-agenda\/wp-content\/uploads\/2018\/12\/appointment-client-communication-menu-300x269.png 300w\" sizes=\"(max-width: 574px) 100vw, 574px\" \/><\/figure><\/div>\n\n\n\n<p>To add an Communication you simply click \u201cNew Communication\u2026\u201d and provide the following:<\/p>\n\n\n\n<ol><li>Select the Client the Communication occurred with (the first\/only client will be selected automatically) <\/li><li>Select the Communication type from the drop down menu: <ol><li>Telephone TO Client <\/li><li>Telephone FROM Client <\/li><li>In Person <\/li><li>Email TO Client <\/li><li>Email FROM Client <\/li><\/ol><\/li><li>Optionally set the Result.  Which Results are options depends on the  communication type you select, for example \u201cTelephone TO Client\u201d has  the Result options: <ol><li>Answered <\/li><li>No Answer <\/li><li>Left Message <\/li><li>Other <\/li><\/ol><\/li><li>Optionally select the <strong>Status<\/strong> (more on this below).  Statuses can be customized but by default there is : <ol><li>Confirmed <\/li><li>Left Message <\/li><li>Canceled <\/li><li>Rescheduled <\/li><\/ol><\/li><li>Optionally set the time the communication occurred and with which  staff member.  This will default occurring at the current time with you  (the logged in account). <\/li><li>Optionally add any notes about the communication <\/li><li>Optionally check &#8220;Append a text copy of this communication to  the Appointment&#8217;s description&#8221;.  This will append a short note detailing  this communication into the appointment&#8217;s description so other staff  don&#8217;t need to open this communication to see the details. <\/li><li>Click \u201cOK\u201d<\/li><\/ol>\n\n\n\n<div class=\"wp-block-image\"><figure class=\"aligncenter\"><img loading=\"lazy\" width=\"630\" height=\"470\" src=\"https:\/\/teracet.com\/active-agenda\/wp-content\/uploads\/2018\/12\/client-communication.png\" alt=\"\" class=\"wp-image-177\" srcset=\"https:\/\/teracet.com\/active-agenda\/wp-content\/uploads\/2018\/12\/client-communication.png 630w, https:\/\/teracet.com\/active-agenda\/wp-content\/uploads\/2018\/12\/client-communication-300x224.png 300w\" sizes=\"(max-width: 630px) 100vw, 630px\" \/><\/figure><\/div>\n\n\n\n<p>The newly created communication will appear in the communications dialog box, you can double click the communication entry to open it for viewing or modification.<\/p>\n\n\n\n<p>A Communications tab has been added to the client record that enables you to:<\/p>\n\n\n\n<ol><li>View all communications between your organization and that client\n<\/li><li>Add new communications that are not associated with any appointment\n<\/li><\/ol>\n","protected":false},"excerpt":{"rendered":"<p>Often there are communications (phone calls, in person conversations etc) between your organization and a client prior to an appointment, most commonly to remind the client and\/or confirm the appointment.
